As trip organizers, we try to be as flexible as possible when it comes to cancellations. We know it’s never nice to find out you can’t go after all, but it’s even worse when you can’t get your registration fee back. That’s why we recommend choosing cancellation insurance when you sign up. It doesn’t cost much and could save you quite a bit of money.

Here are the cancellation rules explained in detail.

Why cancel?

There can be all sorts of reasons why you’re no longer able to go on the trip you had planned.

1. Replacement

Have you found someone who wants to take your place ? Great ! Changing the participant is completely free, and you don't need to have taken out insurance for this.

Conditions

You must provide us with this information by email no later than 10 days before the trip starts.

What exactly do I need to do?

Send us an email at info@sportd’hivers.com with the first name, last name, email address and phone number of the person taking your place (ideally, copy them into the email).

We’ll register them and transfer any payments you’ve already made to their booking.

How and when will I be refunded ?

You arrange the payment directly between yourselves: the person taking your place pays you the registration fee, and any payments you’ve already made are simply transferred to them.

2. Cancel with cancellation insurance

You can no longer take part and haven’t found anyone to replace you, but luckily you took out cancellation insurance when you booked? The following rules apply:

Cancellation insurance
  • If you cancel at least 60 days before departure, you’ll receive a 100 % refund of the amount paid (excluding cancellation insurance fees).
  • If you cancel less than 60 days before departure, you’ll also receive a 100 % refund of the amount paid (excluding cancellation insurance fees) if you can provide a valid reason for cancelling (see valid cancellation reasons), provided you cancel no later than the day before departure.
  • Cancel less than 60 days before departure without being able to provide a valid reason for cancelling (see valid cancellation reasons)? You’ll still receive a 60 % refund of the amount paid (excluding cancellation insurance fees), provided you cancel no later than the day before departure and have already paid for the trip in full.
Valid reasons for cancellation
  • Illness, death or accident affecting the insured person. The inability to travel must be supported by a handwritten medical certificate. The insurer may appoint a medical advisor.
  • If the insured person is required to take a resit exam during the departure period or within the following 20 days, and it cannot be postponed. This condition applies only if the exam is required to complete a multi-year course of study.
  • Death, illness or a life-threatening accident, or hospitalisation for at least 48 hours, of a family member up to the second degree of relationship, requiring the insured person’s presence.
  • If a first-degree family member of the insured person requires urgent care following an accident, the sudden onset of an illness, or the worsening of an existing illness, and no one other than the insured person can provide that care.
  • If a family member of the insured person who is not taking part in the trip unexpectedly requires medically necessary surgery. This event is not covered if the family member was already on a waiting list for the procedure.
  • If the insured person undergoes surgery related to an organ transplant from a donor.
  • Signing a new permanent employment contract that was not yet known at the time of booking.
  • If the insured person becomes involuntarily unemployed after being employed under a permanent contract and can provide a dismissal authorisation issued for economic reasons related to the company.
  • In the event of the permanent breakdown of the insured person’s marriage, when divorce proceedings were initiated after the trip was booked. The dissolution of a cohabitation agreement established by notarial deed and valid when the insurance was taken out is considered equivalent to the permanent breakdown of a marriage. The divorce or dissolution proceedings must be initiated no later than 4 weeks after the cancellation. This also applies if the insured person unexpectedly obtains rental accommodation with a lease starting during the trip or within the 60 days before it begins. The insured person must be able to provide an official rental agreement clearly confirming this.
  • In the event of pregnancy complications affecting the insured person, provided they have been medically diagnosed by the treating doctor or specialist.
  • If the authorities of the destination or country of origin prohibit travel to the destination, making the trip impossible.
Cancellation during your trip

This situation isn’t covered by this cancellation insurance, but it may be covered by your personal insurance or travel assistance insurance.

What exactly do I need to do?

Send us an email at info@wintersport.com stating the reason for your cancellation. We must receive your email no later than one day before departure. If you would like to request a full refund, excluding the cost of cancellation insurance, please also attach the required supporting document, such as a medical certificate, a new employment contract or a court summons.

How and when will I be refunded ?

If you’re entitled to a refund, it will be issued no later than 60 days after the scheduled departure date. The refund will automatically be credited to the bank account used to pay the amount already paid.

3. Cancel without cancellation insurance

Can’t make it after all, didn’t take out cancellation insurance when you booked, and really can’t find anyone to take your place? That’s a shame!

If you’ve already paid for the trip in full, you may still be able to get part of your money back if you cancel early enough (see the table below). If the total amount hasn’t been paid yet, no refund will be issued.
